Performance Responsibilities/DutiesEssential Responsibilities

Bi-Weekly Payroll Duties

  • Maintain payroll files on all current, terminated and retired employees.
  • Collect, verify and record employee attendance, including hours worked.
  • Compute all wages and deductions.
  • Prepare trial balance, deduction and distribution reports.
  • Prepare checks and direct deposit files for submission to Doculivery.
  • Prepare check register, federal and social security reports and deduction reports.
  • Ensure compliance with federal, state and local tax laws, including remittance of all payroll taxes.
  • Balance and close payroll and employee trial balance reports.
  • Balance and post budget and revenue transactions to appropriate fund accounts.
  • Authorization of payment for substitue employees through WillSub.
  • Process and monitor garnishment orders.

Quarterly Close Duties

  • Prepare and remit reports for INPRS (PERF & TRF), IRS form 941 and Indiana unemployment reports.
  • Close, post and clear quarterly reports.

Yearly Close Duties

  • Balanceand close yearly totals.
  • Prepare and distribute W-2's and report to Social Security Administration and IRS.
  • Back up information and clear totals.

Fiscal Year Close Duties

  • Udate all leave days as appropriate.
  • Pay balance of contracts for certified employees.
  • Assist with contracts for all pertinent employees.
  • Back up information and clear fiscal totals.

Miscellaneous Tasks

  • Responsible for retiree health insurance including VEBA distributions.
  • Responsible for daily corporation deposits.
  • Answer all questions from employees pertaining to any payroll issue.
  • Verification of employment on current and past employees.

Benefit DutiesAnnuities, Insurances and Miscellaneous Deductions

  • Maintain employee information for each deduction.
  • Prepare claims and reports for all employee benefits.
